Your contact form might be losing leads

Enquiries from the website used to trickle in every week. Then they stopped. You assumed business was slow, or that people prefer WhatsApp now. It is worth checking another possibility: the form broke, and nobody noticed.

Contact forms fail silently. The visitor fills it in, presses Send, sees "Thank you, we'll be in touch", and leaves happy. The message never arrives. There is no error, no warning, and no way for you to know — except that the phone is quieter than it should be.

Here is how it happens, and a five-minute test that catches it.

01

The email lands in spam

The most common cause. Many websites send form messages from an address that does not match the domain, or without the settings that tell email providers the message is genuine. Gmail and Outlook increasingly treat those as suspicious and file them in spam, or reject them outright.

Check your spam folder now for messages from your own website. If you find any, the form works but the delivery does not.

02

The receiving email address changed

The form was set up to send to an address someone stopped checking: a former employee, an old Gmail, info@ that nobody reads. The messages arrive perfectly — in an inbox no one opens.

03

An update broke it

On WordPress, a plugin or theme update can stop a form plugin from working, or break the connection to the email service. Hosting companies change mail settings too. A form that worked for two years can stop overnight without anyone touching it.

Static sites are not immune either: they often rely on an outside form service, and if that service changes its free plan or the account lapses, the form quietly stops forwarding messages.

04

Spam protection is blocking real people

CAPTCHAs and spam filters keep junk out, but an over-strict setting can also block genuine visitors, or make the form so annoying that people give up. If the form asks someone to identify traffic lights three times on a slow phone connection, many will not bother.

05

The form works, but the phone number is wrong

Not a form problem, but the same symptom. A number changed and the website was never updated; a WhatsApp button points to a number without WhatsApp; a phone number is shown as an image so it cannot be tapped on mobile. Check every way someone could contact you, not just the form.

A thank-you message proves nothing

The "Thank you" screen only confirms the form was submitted to your website. It says nothing about whether the email left your server, or arrived anywhere. That is why a broken form can look perfectly healthy from the outside.

Test the form the way a customer uses it, and check that the message actually arrives.

A better setup sends each enquiry to two places — your email and a simple record such as a Google Sheet or the website's own database — so a delivery failure never loses the lead completely.

The five-minute monthly test

Put a reminder in your phone for the first of every month.

  1. Open your website on your phone, on mobile data. Not office Wi-Fi, not your laptop.
  2. Fill in the form as a customer would. Use a name like "Test – October" so you recognise it.
  3. Check the inbox it should reach, within ten minutes. Including spam and promotions folders.
  4. Tap the phone number and the WhatsApp button. Both should open, with the right number.
  5. Reply to your own test. It confirms the reply-to address is right, so you can answer real enquiries directly.

If the test fails

Do not panic, and do not wait. Most fixes are small:

  1. Message in spam: ask your designer to send form mail through a proper email service or your domain's mail, with the correct domain settings.
  2. Message never arrives: check the address the form sends to, then whether a recent update broke the form.
  3. Form shows an error: screenshot it and send it to whoever maintains the site.

Meanwhile, put your phone number and WhatsApp button prominently on the contact page, so nobody is stuck with only a broken form.

Quick answers

Why am I not receiving emails from my website contact form?

The most common reasons are that messages are going to spam, the form sends to an address nobody checks, a plugin or hosting change broke the sending, or the email is rejected because the domain's email settings are missing.

How do I test my website contact form?

Fill it in from your phone on mobile data, as a customer would, and confirm the message arrives in the right inbox within a few minutes. Check spam too. Do this monthly.

Should I use a contact form or WhatsApp?

Offer both. Many people in India prefer WhatsApp for a quick question, while others want to write in detail or contact you outside working hours. A form also gives you a written record.
